# Deduction Management: Recover the Cash Behind Short Payments

Most finance teams know their DSO number by heart. Far fewer can tell you how much revenue walked out the door last quarter because a customer paid 94% of an invoice and nobody chased the other 6%. That gap has a name: deductions, or short pays. Individually they look like rounding errors. In aggregate they are one of the largest uncontrolled leaks on the balance sheet.

Deduction management is the discipline of catching those short payments, deciding which ones are legitimate, recovering the ones that are not, and fixing the upstream processes that caused them. Done badly, it quietly funds your customers working capital out of your margin. Done well, it recovers cash you have already earned and reveals operational defects nothing else in your reporting will surface.

## What deduction management actually covers

A deduction is any reduction a customer applies to an invoice before paying it. The umbrella covers two very different animals, and conflating them is the first mistake most teams make.

### Deductions versus disputes

A true **deduction** is expected and contractual: an early-payment discount, an agreed promotional allowance, a volume rebate, a co-op marketing accrual. The money was never really yours, and the only failure mode is failing to book it correctly.

A **dispute** is an unexpected short pay. The customer is asserting that something went wrong on your side, usually a pricing error, a damaged or missing shipment, a late delivery penalty, or a compliance chargeback. Here the money may well be yours, and whether you keep it depends entirely on how fast and how well you can research the claim.

Example

A distributor finds that 60% of its dispute volume carries one reason code: short shipment. Investigation shows a single warehouse consolidating pallets without updating the packing list.
